What is Streak CRM?

Streak is a CRM that works in tandem with your Gmail inbox to help you keep track of all of your emails. Streak helps you track multiple activities (such as sales, recruitment, and project management) and manage distinct client profiles by neatly arranging all of their necessary contact information, personal details, and connected files using customizable workflows.

Streak also includes a number of other productivity-enhancing features, such as mail merge, email tracking, and pre-written templates. To make collaboration inside your firm easier, you may assign tasks, set reminders, and share pipelines.

How to Use Streak CRM

When you first start using Streak, it can be a little tricky to navigate, as you can see in the screenshots below. It does, however, have a nice design and is simple to use once you get used to it. I’ll walk you through the steps to get started using Streak below.

Learn Streak’s terminology

Streak creates a powerful CRM by combining pipelines, stages, columns, and boxes. Before we get started with the setup, here’s a quick rundown of each.

  1. Pipelines: Any process or workflow that has numerous steps is referred to as a pipeline.
  2. Stages: Individual phases or milestones that make up a pipeline are referred to as stages.
  3. Boxes: This is where you keep all of your information about your leads, clients, applicants, or contacts. Boxes pass through your pipeline at various points.
  4. Columns: These are the order in which you want to collect and store information in a box.

Install the Streak extension

To begin, go to the Chrome Web Store or the Safari Extension Gallery and install the Streak extension. At this time, you won’t be able to utilize the software with any other browsers, which is a minor disadvantage. Because Streak is integrated with Gmail, you’ll need to grant access to your inbox.

Set up your pipelines

After you’ve installed Streak, you can begin creating various workflows for your business. Streak, as previously said, uses pipelines to represent various processes. For example, I use a pipeline to manage leads from the initial outreach to the closed customer. I also utilize a separate pipeline to keep track of projects from conception to conclusion.

While you may create your own pipelines from start, Streak has a number of pre-built templates for various business processes such as recruitment, investment deals, projects, and support requests. Pipelines can be used to handle any form of workflow in your company.

Add your stages

You’ll need to start adding additional stages to your pipelines when you’ve chosen a pipeline to track. Stages are the various steps or milestones that illustrate how an item progresses from start to completion in your process.

My pipeline stages are ****Lead > Demo > Negotiating > Closed–Lost > Closed–Won****, for example. You can add or remove phases as needed, and color-code them for easy identification.

Customize Your Columns

After you’ve set up your process, you’ll need to decide what data you want to keep track of so that all relevant data is readily organized in front of you. This information is displayed in columns in Streak, and you can add, move, or delete data as needed. By configuring fields with dropdown, checkboxes, date, or freeform columns, you can capture practically any type of contact information.

Streak’s Magic Columns are a helpful feature that I’ve recently started using. These are columns that Streak automatically generates based on the data it collects. For example, in addition to the ‘Date of Last Received Email’ column, I now include a ‘Freshness’ column to check how recently a box was updated.

Add Emails to a Box

In a centralized area called a ‘box,’ Streak keeps all data on your leads, customers, or applicants. Boxes are represented as a single row in your pipeline, and you can move them through the various phases.

In order for an email to appear in your CRM and for you to begin tracking information, you must assign it to a box when you get it. You can add emails directly from your inbox (by clicking the box icon and entering a name), from an email thread, or when writing a new email using Streak.

Manage Your Boxes

You can view further information on a certain contact by clicking through to a box. All connected emails, files, notes, phone logs, and column information can be found here. Using the timeline tool, you can instantly observe any changes made, assign forthcoming tasks, and make follow-up reminders. Each box has a wealth of information, and you can alter the layout or contents to meet your specific requirements.

What I Like About Streak

Streak is a well-designed, minimalist solution that blends Gmail’s simplicity with a powerful CRM. Streak includes some significant capabilities under the hood that help streamline your email routine and boost efficiency, even if it doesn’t appear to be much at first glance. I’ll go through what I like about utilizing Streak and why you should consider using it for your company in the following sections.

Ability to build any type of workflow

One of the best features of Streak is the CRM’s ability to track any form of process. While most CRMs are designed to manage client interactions, Streak goes a step further by allowing you to create workflows around your company’s day-to-day operations.

While I use Streak to monitor new leads, I also use it to create pipelines for tracking project emails and managing my recruitment — I effectively use Streak as an applicant tracking system. Any procedure that can be broken down into steps can be turned into a workflow in Streak. Construct a ticketing pipeline to prioritize and manage IT help, for example, or create an editorial workflow to streamline content development. Streak can also be used to replace other tools you may currently be using, saving you money on monthly fees.

Excellent team collaboration capabilities

While I’m the only one in my company who uses Streak, the software does have some great collaboration tools. You may form teams (for example, Sales Team A), assign responsibilities and rights to each (owners, members, and payers only), and share various pipelines.

Sharing a pipeline ensures that you have a central area where other members of your team can view contact information and assist with workflow management. Individual boxes can also be assigned to team members, allowing you to leave comments, assign tasks with deadlines, and set reminders.

Email power tools

Streak is a fantastic CRM, and I highly recommend using their email power tools to get the most out of it. Email tracking, mail merge, snippets (pre-written emails), and a thread splitter are among the features available. All of these capabilities integrate smoothly into your email, allowing you to work more efficiently while also providing vital information into what’s working and what isn’t.

I often combine the mail merge and email snippet features. I can create and save personalized templates with text substitutions, then send an email to numerous leads in my pipeline using these functionalities. This will save you a lot of time! If you have a list of contacts who aren’t in a pipeline, you may use the mail merge tool to import their email addresses as a CSV file.

I frequently utilize the email tracking feature after an email has been sent to observe when a recipient receives the message, how many times they have viewed it, and where/what device they used to view it (if available). Email tracking gives you more context and allows you to contact prospects at the appropriate moment. It’s also worth noting that the free plan only allows you to send 200 tracked emails.

Email scheduling and reminders

The snooze button is a feature that I use frequently–and not only in the morning! Snooze, like the Boomerang Gmail extension, allows you to archive an email and bring it back to the top of your inbox at a later time. For example, if I receive an email on Friday afternoon that I don’t want to respond to until Monday, I can simply’snooze’ it by picking a preferred day and time by clicking on the clock icon. The email is then archived, and when I’m ready to act, it reappears in my inbox on Monday morning. If you wish to use the snooze feature, make sure that the conversation view in Gmail is turned on.

You can also set an email to be sent at a certain time. For example, if you’re drafting an email late at night and don’t want it to reach a prospect until the morning, you may choose a date/time and Streak will send it for you.

Robust free plan

Finally, Streak is a completely free program. While the company does offer a subscription plan, most capabilities, such as endless pipelines, mail merge, email tracking (limited to 200 per month), and basic CRM functions, are available with the free version (tasks, reminders, contact details, custom columns, etc.). The free edition is good value for a freelancer or small business owner.

Streak CRM Weaknesses

I’ll go over some of the things you should think about before adopting Streak in your business.

Lacks features typically found in a fully-fledged CRM

Because Streak is a Gmail plugin, it lacks some of the functionality of a true CRM platform. The software’s automation and reporting/forecasting features, for example, are restricted. In contrast, Zoho CRM (free) allows you to create workflow rules that automatically update specific fields, send emails, or add tags when certain circumstances are satisfied. For numerous stages of the sales process, you can create sophisticated processes. Although Streak lacks this feature, it does offer a straightforward CRM that allows you to manage a big number of contacts across multiple pipelines.

Streak relies on G Suite

Streak is a niche product. The platform was created just for Google and only works with Gmail and the rest of the G Suite (Google Drive, Docs, Calendar, etc). Furthermore, Streak is only available on Google Chrome and Safari. Other email providers and browsers are not currently supported by the company.

While this has real ramifications for Outlook users, it isn’t always a terrible thing. Streak is well-aware of its target demographic and responds to their demands. If you already use Gmail, Streak is a fantastic add-on that lets you manage your productivity right from your inbox. If you’re already utilizing an email service, Zoho CRM is an excellent free option.

Is Streak CRM right for you?

Streak is great for freelancers and small enterprises who use Gmail already. It’s inexpensive, highly configurable, and effortlessly interacts with other Google technologies you may already be using. Because Streak lacks the features of a full-fledged CRM, it may not be appropriate for larger businesses that require extensive workflow automation or in-depth reporting/forecasting.

This isn’t a big deal for me because my business isn’t too intricate. I just use Streak to organize my inbox and manage several workflows (sales, recruitment, and project management). Streak gives me a centralized location to keep all of my contacts’ information and allows me to handle every client or lead encounter fast. I can work with other members of my team if necessary, and I can save time and get better outcomes by utilizing a variety of effective features (mail merge, snippets, and email tracking).
